GitScrum Archived Tasks

Managing Archived Tasks in GitScrum Boards

In GitScrum, each board has two distinct versions of tasks: Active Tasks and Archived Tasks. This separation allows teams to maintain a clean and focused workspace for ongoing work while preserving completed or inactive tasks for future reference. The workflow for both active and archived tasks remains consistent, ensuring uniformity across all boards.

GitScrum Archived Tasks

The ability to toggle between active and archived tasks is straightforward, providing teams with flexibility and control over their task management process. To view archived tasks, simply click the "Show Archived Tasks" button. To return to the active tasks view, use the "Hide Archived Tasks" button.

How Archived Tasks Work

Separation of Active and Archived Tasks:

Each board maintains two categories of tasks:

Active Tasks: These are tasks that are currently being worked on or are part of the ongoing workflow.

Archived Tasks: These are tasks that have been completed, canceled, or are no longer relevant but need to be preserved for historical purposes.

Consistent Workflow:

Both active and archived tasks follow the same workflow structure (e.g., Todo , In Progress , Testing , Done ). This ensures that archived tasks retain their original context and progress history, making it easier to review past work.

Toggling Between Views:

To view archived tasks, click the "Show Archived Tasks" button. This will display all tasks that have been moved to the archive.

To hide archived tasks and focus on active tasks, click the "Hide Archived Tasks" button. This restores the default view of only showing active tasks.

Why Use Archived Tasks?

Clutter-Free Workspace: By archiving completed or inactive tasks, you keep the active task list clean and focused, reducing distractions and improving productivity.

Historical Reference: Archived tasks serve as a record of past work, allowing teams to revisit completed tasks for analysis, learning, or reuse.

Resource Planning: Reviewing archived tasks helps in identifying patterns, estimating effort for similar tasks, and planning resources more effectively.

Transparency: Teams can easily switch between active and archived tasks to ensure nothing is overlooked, maintaining full visibility of project history.

Practical Use Cases for Archived Tasks

Software Development

Scenario: After completing a sprint, all finished tasks are moved to the archive. During retrospectives, the team reviews these archived tasks to identify areas for improvement.

Benefit: The consistent workflow allows the team to quickly understand the progression of each task, even after it has been archived.

Marketing Campaigns

Scenario: A marketing team archives tasks related to a completed campaign. Later, they analyze these tasks to evaluate the campaign's success and plan future strategies.

Benefit: Having access to archived tasks helps in benchmarking performance and refining approaches for upcoming campaigns.

Event Planning

Scenario: After an event, all tasks related to setup, execution, and teardown are archived. These tasks are reviewed during post-event evaluations to identify what went well and what could be improved.

Benefit: The shared workflow ensures that all aspects of the event are documented consistently, making it easier to learn from past experiences.

Product Launches

Scenario: Following a product launch, tasks related to development, testing, and deployment are archived. These tasks are referenced during future launches to streamline processes.

Benefit: Teams can leverage the historical data stored in archived tasks to avoid repeating mistakes and optimize workflows.

How to Effectively Use Archived Tasks

Regular Archiving: Encourage team members to move completed or irrelevant tasks to the archive regularly. This keeps the active task list manageable and focused.

Periodic Reviews: Schedule periodic reviews of archived tasks to extract insights, identify trends, or repurpose successful strategies.

Clear Documentation: Ensure that all tasks, whether active or archived, are thoroughly documented with descriptions, comments, and attachments. This enhances the value of archived tasks as a reference.

Leverage Automation: Use automation features to streamline the archiving process, reducing manual effort and minimizing errors.

Benefits of Using Archived Tasks

Improved Focus: By separating active and archived tasks, teams can concentrate on current priorities without being overwhelmed by past work.

Enhanced Accountability: Archived tasks provide a transparent record of completed work, ensuring accountability and traceability.

Better Decision-Making: Access to historical data enables teams to make informed decisions based on past successes and challenges.

Streamlined Processes: Consistent workflows for both active and archived tasks simplify task management and reduce confusion.

Example Scenario: A Marketing Team

A marketing team uses GitScrum to manage multiple campaigns, each with its own board. For each board:

Active Tasks: Focus on current campaign activities, such as content creation, social media scheduling, and email marketing.

Archived Tasks: Preserve completed tasks from past campaigns, such as executed ads, published blog posts, and analyzed reports.

When planning a new campaign, the team clicks "Show Archived Tasks" to review past strategies and outcomes. After the campaign ends, they move all completed tasks to the archive by clicking "Archive Tasks" , keeping the board clean for the next campaign.

By leveraging GitScrum's Archived Tasks feature, teams can efficiently manage both active and historical tasks while maintaining consistency across all boards. This ensures that projects remain organized, transparent, and productive, regardless of their complexity or duration.
