GitScrum Share Project Board

Sharing Your Project Board with Stakeholders

The Share Project Board feature in GitScrum allows you to easily share your project boards with team members, clients, or stakeholders without needing to add them to the project or your workspace. This ensures that external parties can view the board's structure, including columns and tasks, while maintaining control over who has access and what they can do.

GitScrum Work In Progress

This feature is particularly useful for providing transparency to stakeholders or clients who need visibility into the project's progress but do not require full editing capabilities.

How Share Project Board Works

Access the Share Option:

Navigate to the project board you want to share.

Click on the Menu icon located on the right side of the board.

Enable Shareable Link:

Select the Share Project Board option from the menu.

A modal window will appear with a checkbox labeled "Enable Shareable Link."

Check this box to generate a shareable URL.

Add a Password (Optional):

If you want to restrict access to the board, enter a password in the provided field.

Only users who have the password will be able to access the board via the shared link.

Copy and Share the URL:

Once the Enable Shareable Link checkbox is selected, a unique URL will be generated.

Copy this URL and share it with the intended recipients.

View-Only Access:

When someone accesses the board using the shared link, they will see the board's structure, including all columns and tasks.

However, these users will only have view-only access:

They cannot open individual tasks to view details.

They cannot move tasks between columns or make any modifications.

Why Use Share Project Board?

Transparency: Provides stakeholders or clients with visibility into the project's progress without granting them full access to the workspace.

Simplified Sharing: Allows you to share the board with external parties without needing to invite them as members of the project or workspace.

Controlled Access: The optional password feature ensures that only authorized individuals can access the shared board.

Read-Only Security: Limits external access to viewing the board's structure and tasks, ensuring sensitive information remains protected.

Practical Use Cases for Share Project Board

Client Updates

Scenario: Share the project board with a client to keep them informed about the progress of their project.

Benefit: Clients can view the workflow and understand the current status of tasks without requiring full access to the workspace.

Stakeholder Reporting

Scenario: Provide stakeholders with a read-only view of the board during key milestones or reviews.

Benefit: Ensures stakeholders are aligned with the project's progress and can provide feedback if necessary.

Team Collaboration

Scenario: Share the board with temporary team members or contractors who need visibility but not editing rights.

Benefit: Facilitates collaboration without compromising the integrity of the project data.

Demonstrations

Scenario: Use the shared link during presentations or demonstrations to showcase the project's workflow to potential clients or partners.

Benefit: Provides a clear and professional overview of the project's structure and progress.

Best Practices for Using Share Project Board

Set Clear Expectations: Inform recipients of the shared link about the limitations of view-only access to avoid confusion.

Use Passwords for Sensitive Projects: Enable the password protection feature for projects containing confidential or sensitive information.

Regularly Review Shared Links: Periodically review active shared links to ensure they are still needed and revoke access if no longer required.

Communicate Changes: If the board's structure or content changes significantly, notify recipients of the shared link to ensure they remain up-to-date.

Example Scenario: A Marketing Team

A marketing team uses GitScrum to manage their campaign workflows. They want to provide their client with visibility into the project's progress without granting full access to the workspace.

The administrator navigates to the project board and clicks the Menu icon.

They select Share Project Board and check the Enable Shareable Link checkbox.

To ensure security, they set a password for the shared link.

The administrator copies the generated URL and shares it with the client via email.

The client accesses the board using the shared link and views the campaign's workflow, including columns and tasks, but cannot make any changes or view task details.

By leveraging the Share Project Board feature, project administrators can provide controlled visibility into their projects, fostering transparency and trust with stakeholders while maintaining data security and integrity. This ensures that everyone stays informed and aligned throughout the project lifecycle.
